Privacy policy

This policy explains how Editor Scout handles the information you share with us. If you have any questions, email hello@editorscout.com.

What we collect

• Contact details you give us: your name, email address and, if you choose, a company name.
• Project details you enter: format, volume, budget, timing, style notes and reference links.
• Messages you send us by email.
• A one-way scrambled (hashed) form of your network address, stored with your enquiry and used only to limit spam submissions. We do not store the address itself. It is deleted together with the enquiry.

We do not use advertising trackers or sell any information.

How we use it, and why we are allowed to

• To review your enquiry, reply to you and, if you engage us, run the search. Legal basis: steps you ask us to take before a contract, and performing that contract.
• If you engage us, to share relevant project details with editors so they can quote. We do not share your contact details with editors without your permission. Legal basis: performing the contract.
• To send ourselves an internal alert when a new enquiry arrives, and to protect the service from spam and misuse. Legal basis: our legitimate interest in running a secure, responsive service.
• To keep records of engagements and payments. Legal basis: our legal obligations, such as accounting rules.

We do not automatically visit, download or scan links you submit. We only open them when reviewing your project.

What we don't do

• We don't sell your information or use it for advertising.
• We don't add you to a marketing list.
• We don't store your answers or contact details in your browser. The only browser storage on this site is the sign-in for our own admin account.

Who processes it for us

We use a small number of service providers to run Editor Scout:

• Lovable, our website hosting and database provider, which stores enquiries with access limited to our administrator account.
• Resend, which delivers our internal notification emails when a new enquiry arrives. These alerts contain a short summary only, not your footage links or full brief.
• Stripe, which processes the sourcing fee payment if you engage us. Card details go directly to Stripe and are never seen or stored by Editor Scout. We receive a record of the payment and your billing country for tax.
• Our email provider for hello@editorscout.com, which handles messages you send us.

Editors receive project details only when you engage us, and only what they need to quote.

International transfers

Some of these providers, or their own subcontractors, may process data outside the European Economic Area, including in the United States. Where that happens, the transfer is protected by the European Commission's Standard Contractual Clauses or, where the provider is certified, the EU-US Data Privacy Framework. You can ask us for more detail at the address below.

How long we keep it

If you do not go ahead with an engagement, we review and delete your enquiry within 12 months. If you do engage us, we keep project and payment records for as long as needed for the engagement and any legal or accounting obligations. You can ask us to delete your information sooner at any time.

Your rights

You can ask to see, correct, export or delete the information we hold about you, or object to how we use it. Email hello@editorscout.com with your enquiry reference if you have one. We will reply within one month. For complex or numerous requests this can be extended by up to two further months, and we will tell you if so. You also have the right to complain to a data protection authority, such as the Croatian Personal Data Protection Agency (AZOP) or the one where you live.

Changes

If we change this policy, we will update the date at the top of this page.
